Communications/Telephones All telephones have hold, transfer, conference call, last number dialed, automatic callback, call forwarding, do not disturb (DND), and call pick-up features. All EH&S staff telephones are equipped with Iowa State University (ISU) voicemail (messages). Hours of Coverage EH&S is a service department to the campus, therefore the main office telephones are answered from 7:30 am to 5:00 pm including the noon hour. Telephone Etiquette Answer the phone with a greeting, Environmental Health and Safety, and then state your name. This allows the person to know with whom they are speaking. If you are transferring a call, please announce the call to the recipient. When you are away from your desk for extended periods, put your phone on “Do Not Disturb”. This allows phone calls to go directly to voicemail, which prevents your phone from ringing multiple times. Cell phones should be set to vibrate or reduce the ring volume. Texting is an excellent way to communicate with others. At times texting can disturb others, such as when you are in meetings or training. If you need to communicate via texting, please excuse yourself and return once your texting is completed. Employee Call-ins Employee calls-ins for illness, etc. should first be directed to the main desk (515-294-5359). If the immediate supervisor or program manager is absent as well, admin staff will forward the message to the appropriate personnel. Cell Phone Policy Cell phones are owned by each individual. We do NOT give out cell phone numbers. Staff members can determine if they want to give out their own cell phone number. Directing Calls EH&S receives calls about a variety of topics. The EH&S Telephone Routing List h as a list of EH&S services and areas of responsibilities to help direct telephone calls to the appropriate person(s). Transfer a Call • Tell the caller you will be transferring them to someone else. • Press the transfer button on the telephone. • Press the number or auto dial line for the person to whom you are transferring the call.
